Terms & Conditions
These Terms & Conditions apply to all safaris, tours, and travel services provided by Buffalo Grass Safaris Expert Limited, a licensed Tanzanian tour operator based in Arusha. By confirming a booking, you acknowledge that you have read, understood, and agreed to the terms outlined below, both on your own behalf and on behalf of all travelers included in your booking.

Reservation & Payments

Buffalo Grass A booking is secured only after a 30% non-refundable deposit has been received, which enables us to reserve accommodations, park permits, transportation, and all operational services. The remaining balance must be paid no later than six (6) weeks before the start of the trip, and bookings made within this period must be paid in full upon confirmation. All payments must be received net of bank charges, credit card fees, or transfer costs, which remain the responsibility of the client. Payment details, including bank account or card instructions, are provided upon request or after initial confirmation.

Booking Confirmation

A booking becomes official once Buffalo Grass Safaris Expert Limited has received the deposit and issued a written confirmation. The person making the booking must be at least 18 years old and is responsible for supplying accurate personal details for all participants, ensuring all travelers have understood the Terms & Conditions, and acting as the primary point of contact. Any incorrect or incomplete information may result in delays, additional costs, or the inability to confirm certain services.

Cancellation by the Client

Cancellations must be submitted in writing by email or official message. The following cancellation fees apply and are calculated per person, based on the date we receive written notice: cancellations 61 days or more before departure result in forfeiture of the deposit; cancellations 60–45 days prior incur a fee of 25% of the total tour cost; cancellations 44–29 days incur a 60% fee; cancellations 8–7 days incur a 90% fee; and cancellations made within 7 days of departure are charged 100% of the total cost. Refunds, when applicable, are processed to the original payment method within a reasonable period, excluding bank charges.

Cancellation by the Company

Buffalo Grass Safaris Expert Limited reserves the right to cancel a confirmed trip in exceptional circumstances such as severe weather, political instability, operational challenges, or other situations beyond our control. If we cancel a trip for reasons not related to client non-payment or force majeure, you may choose an alternative tour of similar value or receive a full refund of all payments made. Where the alternative itinerary is more expensive, you will be responsible for the difference, and where it is cheaper, the difference will be refunded. The company is not liable for any additional expenses relating to canceled arrangements including flights, visas, accommodation, or insurance purchased independently of us.

Force Majeure

Force majeure events include but are not limited to natural disasters, floods, pandemics, civil unrest, government actions, border closures, extreme weather conditions, airline strikes, or sudden park/road closures. In such cases, Buffalo Grass Safaris Expert Limited may modify, postpone, or cancel travel arrangements for safety and operational reasons. Refunds during force majeure situations depend solely on what can be recovered from hotels, airlines, or third-party suppliers, and the company may deduct reasonable expenses already incurred. Travelers are strongly advised to obtain travel insurance covering unforeseen disruptions.

Travel Insurance

Buffalo Grass Safaris Expert Limited does not provide travel insurance, and it is the client’s responsibility to obtain comprehensive coverage from a reputable insurer. Insurance must cover medical treatment, emergency evacuation, and repatriation as these services can be extremely costly in remote locations. For added protection, we strongly recommend policies that cover cancellations, lost luggage, missed flights, personal accidents, high- altitude trekking (if applicable), and other unexpected events that may impact your trip.

Medical Fitness & Health Requirements

Clients should assess their physical fitness and ensure they are medically capable of participating in the chosen activities, especially for trips involving trekking, long game drives, or exposure to high altitudes. Any pre-existing medical condition, allergy, or mobility issue should be disclosed during booking so arrangements can be made where possible. Some destinations operate far from hospitals or clinics, and medical facilities may not meet international standards. Travelers are advised to consult a doctor regarding vaccinations, malaria prevention, altitude considerations, and general health readiness for adventure travel.

Special Requests

Special requests such as dietary preferences, room configurations, mobility assistance, or specific lodge choices must be communicated during booking. While Buffalo Grass Safaris Expert Limited will make every effort to accommodate such requests, they cannot be guaranteed and do not form part of the contract. Where critical needs exist (e.g., allergies), the client must confirm feasibility before making any commitments.

Price Adjustments

Prices are subject to change due to external factors such as government tax increases, adjustments to national park fees, fluctuations in exchange rates, accommodation re- pricing, or rising fuel costs. If a significant change occurs before your trip starts, we will notify you immediately. You may accept the revised cost or cancel your booking without penalty. If no response is received within 14 days of notification, we will assume acceptance. Price changes after the tour has begun are rare but may occur due to sudden government- imposed park fee increases, in which case clients are responsible for covering the additional amount.

Itinerary Changes & Flexibility

Safaris and adventure travel often depend on factors beyond anyone’s control, including weather, wildlife movement, road conditions, flight schedules, and operational adjustments. Buffalo Grass Safaris Expert Limited may modify routes, timings, lodges, or activities when necessary to ensure safety, comfort, and a quality travel experience. Unused services resulting from flight delays, weather disruptions, personal decisions, or circumstances outside our control are non-refundable. If a lodge becomes unavailable, we will arrange suitable accommodations of equal or higher standard.

Assumption of Risk & Safety

By joining a safari or adventure tour, clients acknowledge that travel in natural environments involves inherent risks including encounters with wildlife, uneven terrain, limited medical access, weather exposure, and long driving distances. Travelers must follow all safety instructions provided by guides and respect park regulations, including staying inside vehicles during game drives unless permitted by the guide. Buffalo Grass Safaris Expert Limited may remove any traveler whose behavior endangers themselves, the group, or wildlife, without refund.

Complaints & Service Concerns

If an issue arises during your trip, you must inform our guides, camp managers, or operational team immediately so it can be resolved on the spot. Failure to report a concern during the trip may reduce our ability to assist. After the tour, any unresolved complaints must be submitted in writing within 30 days of the tour’s completion. Independent Suppliers & Third-Party Services

Buffalo Grass Safaris Expert Limited works with trusted third-party providers including lodges, camps, airlines, balloon companies, and transport operators. While we carefully select partners, we do not own or control their operations and therefore are not liable for accidents, delays, loss, service failures, or dissatisfaction caused by these providers. Our responsibility is limited to services directly delivered by Buffalo Grass Safaris Expert Limited and does not extend to optional activities booked directly with independent providers.

Personal Property & Valuables

Clients are solely responsible for all personal belongings, including cameras, passports, phones, cash, and luggage. We recommend keeping valuables with you at all times and using lodge safes where available. Buffalo Grass Safaris Expert Limited is not liable for loss, damage, or theft of personal items during the trip or while in transit.

Photography & Promotional Use

During tours, guides or staff members may take photos or videos for company records or marketing material. By participating in a trip, you grant Buffalo Grass Safaris Expert Limited permission to use such images for promotional purposes (website, brochures, social media, etc.) unless you inform us in writing before the trip begins that you prefer not to appear in any marketing content.

Amendments to Terms & Conditions

Buffalo Grass Safaris Expert Limited may update or revise these Terms & Conditions at any time. The most recent version will always apply to future bookings and will become effective 10 days after being posted on our website or communicated to clients. Travelers are encouraged to review the latest version before finalizing any arrangements.
